Less chasing.More time for client work.

Help for professional and client-facing service businesses across New Zealand. Through our Optimised Operations Framework (OOF), we look at how enquiries, onboarding, document chasing and follow-up flow, fix the process first, then use the software you already have where it does the job.

    Where does the time go?

Where does the time go in your business?

It's common for professional and client-facing service businesses to spend more time on the work around the work than on the work itself. Ask yourself:

    • New enquiries: how quickly does a new enquiry get a response, and who's keeping track of it?
    • Onboarding: when a new client says yes, how many steps and emails does it take to get them set up?
    • Document chasing: who's tracking what information is still outstanding, and where does that list live?
    • Follow-up: after a meeting or proposal, does anyone follow up consistently, or only when someone remembers?
    • Visibility: can you see what's in progress across clients without asking around?

If two or more of these ring true, a 20-minute call is worth it.

    Examples

Examples of what we can work on

These are examples of the kind of work we do, not results from a client.

    1

    Enquiry capture and follow-up.

New enquiries acknowledged promptly, with a clear follow-up sequence so good opportunities don't go cold.

    2

    Client onboarding.

Set-up steps such as engagement documents, ID and information requests sent in a consistent order, so nobody has to remember the next step.

    3

    Appointment booking and reminders.

Fewer rounds of phone tag to lock in a time, with confirmations and reminders sent automatically.

    4

    Client communications.

Newsletters, routine information requests and re-engagement of existing clients handled consistently.

We're technology-agnostic. We start with the software you already use and don't default to any platform or new subscriptions. We only recommend something new where it clearly pays back.

    Privacy and data handling

No client data needed for the call

The discovery call is about how your work flows, not about your clients. You don't need to share client files, names or records. If you go ahead with an OOF engagement, we agree in writing what we'll look at. Client confidentiality, access permissions and sensitive information are considered when designing any solution. Where we need access, we use named logins with multi-factor authentication and only the access we need, and it's removed when the engagement ends. We handle personal information under the Privacy Act 2020. See our Privacy Policy.
