We aim to collect only information reasonably necessary for our business activities and service delivery.

Payments may be processed through external payment providers or banking services. We do not store complete payment card details on our website. Relevant transaction and accounting records may be retained for business and legal purposes.

We may also use information to send relevant business updates or marketing communications where permitted by law. You can opt out of promotional communications at any time.
3. AI-Assisted Communications
Our website uses an AI-powered assistant called Lily to assist with general enquiries, explain our services and help arrange discovery appointments.
Lily may process information you provide during a conversation, together with relevant contact details and previous conversation context held in our CRM. This information may be processed by our CRM provider and associated AI technology providers to generate responses, manage enquiries and facilitate appointments.
AI-generated responses may not always be accurate or complete. You can request human assistance at any time.
Please do not submit passwords, account credentials, sensitive personal information or confidential business records into Lily. If you need to share that kind of information with us, contact us and we will arrange an appropriate separate channel.
We do not use Lily to make binding commercial commitments or final professional decisions on behalf of TimeWise Solutions. Where we use AI-assisted tools in delivering services to clients, the relevant arrangements, information requirements and responsibilities may also be addressed in our written service agreements.
4. Third-Party Tools and Service Providers
We use third-party technology providers to operate our business and deliver services. Depending on the services involved, these may include:
- Customer relationship management and communication platforms, including GoHighLevel.
- Website hosting, forms and appointment scheduling systems.
- AI technology and automation providers.
- Video meeting and online communication services.
- Accounting, invoicing and payment processing platforms.
- Email, cloud storage and business productivity services.
- Website analytics and security providers.
- Approved contractors and professional service providers.
These providers may process personal information on our behalf or, in some circumstances, as independent service providers. We take reasonable steps to select appropriate providers and consider relevant privacy and security arrangements.
Where clients engage directly with third-party platforms, those providers' own terms and privacy policies may also apply. We cannot guarantee the security or availability of independently operated third-party systems. However, we remain responsible for meeting our own applicable privacy obligations.
5. Sharing and Disclosure of Information
We may share personal information where reasonably necessary to:
- Deliver services you have requested.
- Operate our website, CRM, communications and business systems.
- Work with authorised staff, contractors and professional advisers.
- Process appointments, payments and related transactions.

- Protect our legal rights or investigate suspected misuse.
We do not sell your personal information to advertisers or unrelated third parties. We do not disclose personal information for unrelated third-party marketing purposes without appropriate authorisation. Where practical and appropriate, access to personal information is limited to those who need it for legitimate business purposes.
6. Cookies and Website Analytics
Our Site may use cookies and similar technologies to support website functionality, understand visitor activity and improve the user experience. These technologies may collect information such as browser details, device information, pages visited and general usage patterns.
Some cookies may be necessary for website functionality, while others may relate to analytics or other optional services. You can manage or disable cookies through your browser settings. Disabling certain cookies may affect some website features.
Where required, we will provide additional information or choices concerning non-essential tracking technologies.
7. Marketing and Customer Communications
We may contact you in connection with an enquiry, appointment, proposal, existing service or other matter that is reasonably necessary to provide or manage a requested service. Those operational, service-related communications are distinct from promotional marketing, and we do not treat every business message as marketing or as exempt from marketing rules.
Where we send newsletters, promotional messages or other marketing communications, we will only do so where we have a lawful basis under New Zealand law (including any consent required under the Unsolicited Electronic Messages Act 2007), we will identify TimeWise Solutions Limited as the sender, and we will include a functional unsubscribe facility. We will honour unsubscribe requests as soon as reasonably practicable and within five working days.
You may also contact us directly to update your communication preferences. Unsubscribing from promotional communications will not necessarily stop essential communications about appointments, transactions or services you have requested.
8. Access, Correction and Your Privacy Rights
Under the New Zealand Privacy Act 2020, you may request access to personal information we hold about you and ask us to correct information that is inaccurate, incomplete or out of date. We will respond as soon as reasonably practicable and within 20 working days of receiving your request, unless a lawful extension applies. If we extend the time, we will tell you.
If we refuse a correction request, you may ask us to attach to the information a statement of the correction sought. You may also ask us to delete personal information where that is appropriate. Deletion is not a blanket right: we may need to keep information where a legal, contractual or record-keeping requirement applies, or where retention is otherwise permitted or required.
We may need to verify your identity before responding to certain requests. If we cannot fulfil a request, we will explain the reason where required by law.
If you are dissatisfied with how we have handled your personal information, you may contact us using the details below. You may also raise a complaint with the Office of the Privacy Commissioner at https://www.privacy.org.nz.
9. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including:
- Responding to enquiries and managing customer relationships.
- Delivering and supporting agreed services.
- Maintaining relevant business and transaction records.
- Meeting legal, accounting and tax obligations.
- Resolving disputes and protecting legitimate business interests.
Retention periods may vary depending on the type of information and applicable requirements. When information is no longer required, we take reasonable steps to securely delete, anonymise or otherwise dispose of it, subject to relevant obligations and technical limitations.
10. Information Security
We take reasonable physical, technical and organisational measures to protect personal information against unauthorised access, misuse, loss, alteration and disclosure. These measures may include access controls, account security, appropriate service-provider arrangements and secure business systems.
However, no method of internet transmission or electronic storage is completely secure. While we take reasonable steps to protect information entrusted to us, we cannot guarantee absolute security.
If a privacy breach occurs, we will assess and respond to it in accordance with our obligations under the Privacy Act 2020, including notification requirements where applicable.
11. International Storage and Processing
TimeWise Solutions Limited operates in New Zealand. We use GoHighLevel for customer relationship management, enquiries, appointment bookings and AI-assisted communications. HighLevel’s published Security Overview states that its product infrastructure resides in the United States (including on Google Cloud and AWS). HighLevel may also use overseas providers for support, including in India.
Other technology providers we use may store or process personal information outside New Zealand. Where personal information is disclosed overseas, we will take steps appropriate to the circumstances to comply with New Zealand privacy requirements, including Information Privacy Principle 12 where relevant. Processing by an overseas provider solely as our agent on our behalf is not automatically an overseas disclosure under IPP 12. We do not assume that all personal information is stored only in New Zealand.
12. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in our services, technology, business practices or legal obligations. The current version will be published on our website with its revision date. Where appropriate, we may provide additional notice of material changes.
