Keep good enquiries from going cold, without adding to your admin.

Help for mortgage advisers across New Zealand. Through our Optimised Operations Framework (OOF), we look at how enquiries are answered, booked, followed up and handed over, then configure our upcoming Lead Conversion Engine around the CRM and tools you already use, where it fits.

    Where do enquiries slip?

Where do enquiries slip in your business?

It's common for busy advisers to lose good enquiries in the gaps between steps. Ask yourself:

    • First response: when an enquiry comes in while you're with a client, how long until someone gets back to them?
    • Booking: how many emails or calls does it take to get a first appointment in the diary?
    • Follow-up: when someone goes quiet, does anyone follow up, and when do you stop?
    • Handover: in a multi-adviser firm, does the right adviser get the enquiry with the context they need?
    • Past enquiries: are there people who agreed to hear from you but haven't heard from you since?

If two or more of these ring true, a 20-minute call is worth it.

    The Lead Conversion Engine

A repeatable solution, configured to your business

Our upcoming Lead Conversion Engine is a specialised, repeatable solution for the front end of your client journey. It's designed to:

    1. 1
Respond to new enquiries with an acknowledgement.
    2. 2
Collect the basics your advisers need. No financial advice is given by automation.
    3. 3
Book genuine adviser time into your advisers' calendars.
    4. 4
Follow up with clear stop points, so nobody is chased forever.
    5. 5
Hand over to a named adviser with a short summary of the enquiry.

Optional extras, only if your assessment shows they make sense: re-engaging past enquiries who have agreed to hear from you, and a high-level status update from your CRM for review requests and reporting.

What it doesn't do: it doesn't manage applications, lender conditions or settlements, it doesn't store loan documents, and it doesn't replace your CRM or aggregator systems. Your advice and your compliance obligations stay with you.

The engine is a newly designed solution. We'll be clear about what has and hasn't been tested in your setup before anything goes live.

    OOF first: where it fits

We check the fit before you commit

We assess your enquiry, booking and follow-up process using the same Optimised Operations Framework (OOF) as any other business, so we don't assume the engine is the answer. The assessment shows where the engine fits as designed, what needs customising, and whether a simpler fix to your existing systems or process would do the job instead. See Our Approach for how the assessment works.

    Examples

Examples of what we can work on

These are examples of the kind of work we do, not results from a client.

    1

    Enquiry response time and consistency.

Understanding how quickly enquiries are acknowledged and where the gaps are, so good opportunities don't go cold.

    2

    Information captured once.

Basic details collected once and sent where they're needed, so advisers aren't repeating the same questions.

    3

    Booking with less back-and-forth.

Fewer rounds of emails or calls to get a first appointment in the diary, with confirmations sent automatically.

    4

Clear handovers to the right adviser.

Each enquiry reaches the right adviser with a short summary, rather than relying on memory or a forwarded email.

    5

    Database reactivation.

Re-engaging past enquiries who agreed to hear from you, subject to the right consent.

    6

    Simple operational reporting.

A clear view of where enquiries are sitting, what needs attention and what's converting.

    Privacy and data handling

No client financial information needed for the call

The call is about how your enquiries flow, not about your clients. You don't need to share client files, loan details or records. If you go ahead with an OOF engagement, we agree in writing what we'll look at. Loan documents and sensitive financial information stay in your existing systems. Messages are designed to go only to people with a recorded consent basis. Where we need access, we use named logins with multi-factor authentication and only the access we need, and it's removed when the engagement ends. We handle personal information under the Privacy Act 2020. See our Privacy Policy.
